Terms of Service

These terms are an agreement between you and W One ("we", "us") about your use of the W One app and website. By creating an account or using W One you agree to them. If you use W One for a company, you confirm you have authority to accept these terms for that company.

1. The service

W One is job management software. It lets you manage jobs, tasks, issues, expenses, invoices, job reports, and your team's hours. We may change, improve or remove features over time.

2. Your account

You must give accurate information and keep your password private. You're responsible for activity on your account.
The person who creates a company is its owner. The owner controls who joins (using the join code) and each person's role.
You must be at least 18, or the legal age to make a binding contract where you live.

3. Subscription, trial and payment

W One is a paid subscription for each company. It has a base price for the owner, plus a price for each additional team member. Prices are shown in Australian dollars on the plan screen, and can change with notice.
New subscriptions start with a 30-day free trial. A payment card is required. You won't be charged until the trial ends, and you can cancel before then to pay nothing.
After the trial your subscription renews automatically each month or year, depending on the plan you chose, until you cancel.
Adding a team member adds their price to your plan. It is charged for the rest of the current period, in proportion.
Payments are processed by Stripe. Discount codes apply as described when you enter them.
You can cancel at any time in the app under Settings. Cancelling stops future renewals, and you keep access until the end of the period you've paid for. We don't refund the current period, except where the law requires it.
If a payment fails or the subscription ends, access to the app is paused until it's fixed. Your data is kept.

4. Your data

You own the information you put into W One, and we don't claim any rights to it beyond what we need to run the service. You give us permission to store and process it for that purpose. Our Privacy Policy explains how we handle personal information. You're responsible for having the right to enter your customers' and team members' information.

5. Your responsibilities

Use W One lawfully. Don't misuse it, try to break or overload it, or access another company's data.
Don't use it to send spam or misleading invoices. Invoice emails must go only to your own customers, about work you have done or agreed to do.
Tax and legal compliance is yours. W One helps you prepare invoices, GST amounts, hours and pay estimates, but it isn't tax, accounting, payroll or legal advice. You're responsible for charging GST correctly, keeping records, paying your team correctly under the applicable awards and laws, and meeting your obligations to the ATO and others. Pay figures in the app are estimates based on hours times the wage you set.

6. Availability

We work to keep W One available and your data safe, but we can't promise it will always be uninterrupted or error-free. We may pause the service for maintenance. Keep your own copies of important records.

7. Limits on our responsibility

Nothing in these terms limits any rights you have under the Australian Consumer Law or other laws that can't be excluded. Subject to that, to the extent the law allows, we aren't liable for indirect or consequential loss, loss of profit or business, or loss of data, and our total liability to you for any claim is limited to the amount you paid us in the 12 months before the claim.

8. Ending your use

You can stop using W One or cancel at any time. We may suspend or end an account that breaks these terms, or is used in a way that risks harm to others or the service. If we end your account without such a reason, we'll refund any prepaid period that remains.

9. Changes to these terms

We may update these terms. The effective date above shows the latest version. If a change is significant, we'll tell you in the app or by email. Continuing to use W One after a change means you accept it.

10. Governing law

These terms are governed by the laws of Victoria, Australia, and you agree to the courts of Victoria.
